How to never miss a meeting on Mac

Notifications disappear. These reminders don't.

You're focused on work. A notification slides in, you dismiss it reflexively, and 10 minutes later you realize you missed your meeting. Apple Calendar notifications are especially easy to miss in Focus mode or when you're in a fullscreen app.

Why macOS notifications aren't enough

  • They disappear after a few seconds
  • Focus mode can silence them entirely
  • Fullscreen apps hide the notification center
  • No snooze option — it's dismiss or ignore
  • No join button for meeting links

What actually works for meeting reminders

Menu bar countdown

Always visible, no interaction needed. You glance up and see “Standup · 5m” right in the menu bar.

Floating reminder

A small alert that appears on top of your current window — visible even in fullscreen apps. You can snooze or join the meeting directly.

Fullscreen overlay

For meetings you absolutely can't miss. A fullscreen alert takes over your screen with the meeting name and a join button. Impossible to ignore.

How Dot reminds you about meetings

Dot has three layers of meeting reminders, all configurable:

  • Menu bar countdown — always shows your next event and how long until it starts
  • Floating reminder — appears on top of everything, including fullscreen apps. Configurable lead time (1-10 minutes before)
  • Fullscreen overlay — opt-in mode for critical meetings. Takes over your screen so you can't miss it
  • Snooze — 1 minute, 5 minutes, 10 minutes, or “when it starts”
  • Work hours — only show reminders during your configured work hours
