How to manage multiple calendars on Mac

Work, personal, side project — all in one view.

Most people have at least two calendars — work and personal. Many have more: a shared family calendar, a project calendar, a side business. The challenge is seeing them all in one place without losing track of which is which.

How macOS handles multiple calendars

macOS can connect to multiple calendar providers at once. Go to System Settings → Internet Accounts and add your Google, Outlook, Exchange, or CalDAV accounts. Each account can have multiple calendars, and they all sync to the macOS calendar store.

Apple Calendar shows all of them in the sidebar, color-coded by calendar. You can toggle individual calendars on and off.

The challenge with many calendars

  • Visual clutter — when everything shows at once, it's hard to focus on what matters right now
  • Wrong default calendar — new events go to the wrong calendar and you have to fix them
  • Menu bar noise — if your next event display shows personal events during work hours, it's distracting
